Group Bookings Terms

Welcome to the AARP Travel Center powered by Expedia (the "Website"). The Website permits AARP members to book groups of nine (9) or more rooms ("Group Booking(s)"). In addition to the standard AARP Travel Center powered by Expedia Terms of Use available at https://www.expedia-aarp.com/g/ft/termsofuse, all Group Bookings are also subject to the following terms.

How Group Bookings Work

Once you have requested a Group Booking, your request will be sent to multiple hotels. Each hotel will respond individually to your request by emailing you directly with their group rates and availability. You can view all the responses received from hotels by creating and logging in to your AARP Travel Center Powered by Expedia Group Booking account. Please note this is a separate registration process solely intended for managing your group hotel bookings. Once you receive responses from hotels, you will be responsible for contacting the hotel per their instructions to finalize all details regarding your group reservation. Offers made by hotels to you in their email responses and any bookings you make with them will be subject to the terms and conditions specified by the hotel, including but not limited to: (a) the time frames for which the offers are valid; (b) payment terms; (c) cancellation terms; and (d) incidental charges terms.

AARP Member Group Booking Cash Rebate Awards

AARP members who book a Group Booking will receive an exclusive rebate of 5% of the total group's room rate value - up to a maximum of $350.00 per group, for all rooms booked, and excluding taxes, hotel fees or surcharges and incidentals ("Rebate"). Rebates will only be honored for actualized/consumed and Documented Rooms (as defined below ). Only the AARP member who initiates and completes the Group Booking will be eligible for the Rebate.

AARP members will be presented with a Rebate estimate shown in the bid comments for a particular hotel. The Rebate estimate is based on the total number of rooms requested at the specific hotel bid amount. The Rebate estimate shown is an estimate of the total Rebate and not an estimate of the Rebate owed per booking. The actual Rebate awarded may differ from the Rebate estimate based on actual hotel room nights consumed by the group .

How to Obtain Your Rebate

Only the AARP member who initiated and completed the Group Booking may submit a Rebate claim and all Rebate checks will be made out to that AARP member.

In order to request your Rebate, you will need to do the following:

  • Obtain your group check out report (a.k.a. final pick-up report) or all receipts from the hotel for rooms under your group when you check out of the hotel. You can only receive a Rebate for consumed rooms with proof by means of a receipt or group check out report (collectively "Documented Rooms").
  • Record your Request ID (shown at the top of your group request for quotes)
  • Provide the address (in the United State or Canada only) where the Rebate should be mailed to.
  • Please submit all items above online using the online form provided for your group or mail it to the following address (mailing must be postmarked no later than 30 days after your hotel check out date). You will receive a check for the documented consumed hotel rooms within 60 days of receipt of the Rebate request.

Cash back rebates are provided by Expedia's Group Travel Services partner, Lexyl Travel Technologies Incorporated (Lexyl). All Rebate claims are subject to Lexyl's final review and approval. AARP member should keep copies of all Rebate submission documents; all documents submitted to Lexyl become the property of Lexyl and will not be returned. Lexyl retains the right to request additional information when processing a Rebate submission request. Lexyl is not responsible for lost, late, missing, or illegible Rebate submissions, misdirected or misaddressed submissions, or for postage due submissions.

If the AARP member fails to meet any of the rebate terms and conditions, no Rebate will be issued. All Rebates will be paid in U.S. Dollars. In order to accept the Rebate, AARP member must cash or deposit the Rebate check no later than the date stated on the check. Applicable tax, if any, is the sole responsibility of the AARP member. These Group Booking Terms may be amended from time to time by Lexyl with notice to those with Group Booking accounts; the AARP member must acknowledge and accept the Group Booking Terms at the time a rebate claim is submitted.
